Workday Resume Tips: Why Autofill Gets It Wrong and What to Fix Before You Submit

If you've applied to a large company, you've probably met Workday: create an account, upload your resume, then spend twenty minutes fixing the fields it filled in wrong. Many people assume the fields don't matter because the resume is attached anyway. They do matter, because the fields become your candidate profile.

What Workday's documentation says

Workday's administrator guide has a short page on resume parsing. Three points from it matter to applicants:

  1. "Resume parsing results can vary based on resume format and order of words."
  2. "For best results, use resumes that don't have images or image-based styles."
  3. Workday doesn't auto-fill Skills or Languages from your resume, or any field the employer has hidden.

So even if your resume lists twenty tools, the Skills section of the application starts empty. If you skip it, your profile has no skills in it.

The guide also says an employer can switch off resume parsing for external candidates. So on some Workday sites autofill won't happen at all, and that isn't your file's fault.

Why autofill scrambles your resume

"Order of words" is the important phrase. Workday pulls the text out of your file in a sequence and then tries to map it into fields: job title, company, dates, description. If the sequence is wrong, the mapping is wrong.

We tested this with one resume built in seven layouts and a standard PDF parser. Two layouts came out in the wrong order: a two-column design built from a table, and a design made of floating text boxes. In the second one the name came out last. The details are in Can an ATS read columns, tables and text boxes?

That was our parser, not Workday's, but the cause is the same: if the text comes out of the file in the wrong order, any parser that maps it into fields will make mistakes. Typical Workday symptoms:

  • A job description pasted into the wrong job
  • Company and job title swapped
  • Dates missing or attached to the wrong role
  • Education entries split into several pieces
  • Contact details missing because they sat in the page header

Format your resume for Workday

  • Use one column, with sections stacked top to bottom in reading order.
  • Keep everything as text: no skill charts, no text inside graphics, no scanned PDF.
  • Use standard section headings such as Experience, Education and Skills.
  • Pick one date format, like "Mar 2021 to Present", and use it everywhere.
  • Start each role with job title, company and dates together.
  • Put contact details in the body of the page, not in the header.

If the employer's site lists accepted file types, use one of those. A text-based PDF or a DOCX are both common choices. If autofill makes a mess of one, try the other with the same single-column layout before you start fixing fields by hand.

What to check before you click Submit

Go through the application screen by screen. This is where most of the work is.

  1. Work experience. Open each job entry. Check title, company, dates and location. Delete duplicates that autofill created.
  2. Descriptions. Check that each job's bullets belong to that job. Fix line breaks if the text got merged into one block.
  3. Education. Check that each degree is one entry, with the right school and year.
  4. Skills. Add them by hand, because Workday won't. Use the exact names from the job posting where they're true for you: "Salesforce", not "CRM".
  5. Languages. Same: add them manually, with a level.
  6. Screening questions. Answer carefully. Questions about work authorization, location, years of experience or salary often decide automatically whether a recruiter sees your application. More on that in Why is my resume getting rejected?

Workday accounts are per company

Each company runs its own Workday site, so an account at one employer doesn't carry over to another. You'll often create a new account for each company and repeat the steps above.

Two habits save time:

  • Keep a plain text file with your jobs, dates, bullets and skills, so you can paste instead of retyping.
  • Use a password manager. With a separate login for every employer, it's easy to lose access to an account you created months ago and miss an update on your application.

Check your resume before you upload it

You can't see Workday's parser, but you can see how your file's text comes out. Upload it to our free ATS resume checker and open What the ATS sees. If your name isn't first, or a job title isn't next to its dates, Workday's autofill will likely have trouble with the same file.

The checker also compares your resume with the job description. Keywords from the job shows which skills from the posting are missing, which is useful when you fill in Workday's Skills section. No account needed.

Quick answers

Does Workday read PDF resumes?
Yes. Workday parses PDF and Word files, and the employer may list accepted types. What matters more is that the PDF has real text in a simple order.

Why does Workday make me re-enter my resume?
Autofill depends on how the text comes out of your file. Multi-column layouts, tables and text boxes often get mapped into the wrong fields. Some employers also turn autofill off.

Does Workday fill in my skills from my resume?
No. Workday's documentation says it doesn't auto-fill Skills or Languages. Add them by hand.

Does Workday reject resumes automatically?
Automatic rejections usually come from screening questions the employer set up, not from Workday judging your resume.

Is DOCX or PDF better for Workday?
Either works if the layout is simple. If autofill fails with one, try the other.
